Guidelines for Electronic Manuscripts
|
The CD-ROM of MMSP99 will be produced by IEEE Publishing. The
manuscripts will be in html format. For maximum compatibility with
browsers, please make sure that the content conforms to the
HTML 3.2
specifications.
- It is recommended that you put all the parts of your paper in a
single document, except for non-text
multimedia files that are accessed through hyperlinks. This
allows the readers to print the entire paper easily. It is
important that the filename for the main body of your paper be
"index.htm" since it is the way the Table of Contents
will reference it.
For this reason and for compatibility reasons, we strongly
discourage the use of frames.
- The following header should appear at the top left corner of
each paper in default font:

- The section flow of the paper should be: title and author,
abstract, table of contents, main body (section 1, section 2,
... ), end notes (optional), acknowledgment (optional),
bibliography.
Note that the table of contents is unique to the electronic
manuscript. Each line in the link could be linked to the
appropriate section in the electronic document. A link should
also be provided at the end of each section back to the table
of contents.
- The title should be generated using the <h1> tag. The
section headings should be generated using the <h2>
tag. The subsection headings should be generated using
<h3> tag. The text in each section should be in the
default font.
- All major sections (including abstract, bibliography,
acknowledgment) should be separated by a horizontal line, using
the <hr> tag.
- Make sure that internal links to parts of your paper are
relative to the current directory of your file. This is
essential for making your document portable to the
CD-ROM. External links to other documents on the WWW should
include the complete URL address. Please check that all your
hyperlinks work.
The publisher will charge you
extra if the hyperlinks in the submitted document do not work
.
- The total file size of your paper should be no more than 4
Mbytes.
The following documents may be helpful in your preparation of the
html electronic manuscript.
If you prepare your paper using a word processor (e.g. Word) or a
typesetting language (e.g. LaTeX), there is a
list of
converters from various formats to html.
The following non-text multimedia formats may be used in the html
manuscripts:
- Images --- JPEG, GIF
- Audio format --- WAV, AIFF
- Video --- Quicktime, MPEG, AVI
The electronic manuscript will typically consist of a number of
files in html and multimedia formats. All the filenames should
adhere to the 8.3 convention, i.e., filenames should be no more
than 8 characters long, and the suffix should be no more than 3
characters.
Submitting your material is quicker and easier if all of the files
are collected into a single archive using one of the following
formats:
- Pkzip (.zip)
- Tar (.tar)
- StuffIt (.sit)
- GNU Zip (.gz)
- GNU Zip Tar (.tgz)
- Compress (.z)
- Compress Tar (.taz)
- LHA (.LZH)
- ARJ (.arj)
Naming Convention.
The name of your file should be your Paper ID followed by the
appropriate extension for your archiving method. For example, if
your Paper ID is 41, and you choose to Pkzip your
submission, you would submit your file as 41.zip.
Submitting Your Paper to the FTP Site.
When transferring files to the FTP site, if you have a choice
between ASCII and binary modes, use binary. Although ASCII mode
works well most of the time, binary mode incurs fewer problems.
What You Need to FTP Your File(s).
A computer with Internet access and an Internet
browser. Netscape is available free at www.netscape.com. Internet
Explorer is available free at www.microsoft.com.
FTP software. There are many FTP software programs available
for the PC and MAC free at www.shareware.com. Just search on
"FTP". Netscape or MS Internet Explorer can also be
used. (MS Internet Explorer requires an ftp plug-in provided on
the Microsoft website.)
Uploading Your File(s) is a Two Step Process.
Launch your Internet browser and go to the IEEE Publisher
MMSP99 website (http://submit.seps.com). Once there, you create a
secure directory for your submission and receive a User ID.
Launch your FTP software and upload your file(s) to your secure
directory. This site will confirm receipt of your submission by
email.
Step by Step Instructions.
Create the secure directory via the IEEE Publisher
MMSP99 website:
a) Launch your Internet Browser.
b) In the Address/Location field, type
http://submit.seps.com.
c) Enter the MMSP99 project number: 350196.
d) Click on the Submit button.
e) The screen will refresh and you enter:
Your First Name
Your Last Name (your last name is used to create a unique
User ID; therefore, the only legitimate characters the system
will accept are A-Z, 0-9, (, ), and _)
Telephone Number
Your Email Address
A password of your choice
f) Click on the Submit button.
g) If there are no problems with what you
entered in the fields above, the system will confirm that
you have successfully created a secure FTP directory.
h) Print this screen (Secure Directory
Created) for reference; you will also receive an email
containing the same information.
Note: If you have created a directory before on this system,
your personal information, including your password, will be
shown on the screen. If you make any changes, this will
update all of your directories.
Upload your paper and abstract to your secure FTP directory:
a) Launch your FTP software application.
b) In the Address field (this is sometimes
called Location or Site), type "submit.seps.com" or
"ftp://submit.seps.com"
if using Netscape or MS Internet Explorer.
c) In the User ID field type the User ID
assigned to you; it was displayed on the "Secure
Directory Created" screen and again in the confirming
email.
d) In the Password field type the Password
you chose when you created your secure FTP
directory. (Passwords are case sensitive.)
e) Connect to the site.
f) You will see a list of directories. Open
the directory for MMSP99 named: 350196.
g) You should see a directory with the same
name as your User ID. Open that directory.
h) Upload your file(s) into that
directory. The full paper
should have the filename code (Paper ID) given to you in your
acceptance letter. To see your files, you may have to refresh
the window displaying the contents of your directory. When
FTP Services detects your file (after you have uploaded it)
it will move the file to inside a firewall. So, you may not
see your file if you refresh the directory view a few
minutes later. Do not resubmit your file; it has already
been accepted.
When your file is detected by FTP Services, you will receive an
email message at the address you provided when you created your
directory. It will confirm that your submission was received.
Frequently Asked Questions.
Q. How will I know if my paper was received?
A. You will receive a confirmation email when your paper is
detected.
Q. I uploaded my paper to the IEEE Publisher MMSP99 FTP
site, but when I went back later to see if it was there, it was
gone. What happened to it?
A. Once your submission is detected on our site, we move it inside
our firewall to a location where our Production Team can access
it.
Q. What if I need to send a new version?
A. Use the same FTP location, User ID, and Password you used
before and upload the new version of your paper. There is no
need to create a new directory.
Q. I have uploaded two different versions of my paper. How do you
know which one to use?
A. Each version of your submission is automatically numbered so
that we know which one is the most current.
Q. My system keeps timing out when I try to upload my file. What
should I do?
A. You can try two things. If your file is large, you may want to
compress it before uploading it. (zip, sit, tar, etc.) If you
have already done this, you should wait a little while and then
try to upload your file again. Sometimes your specific Internet
route may experience heavy Internet traffic, slowing down your
connection and resulting in time-outs and/or painfully slow
transmissions.
